All Saints’ College is seeking a temporary full-time 38 hours per week Executive Assistant to the three College Assistant Principals. Offering a rewarding and challenging breadth of responsibilities, the Executive Assistant provides effective and efficient high level administrative support across Faith &amp; Mission, Learning and Wellbeing &amp; Engagement. This role involves being the first point of contact for the three Assistant Principals and coordinating an extensive range of office and information systems ensuring that professionalism and confidentiality is maintained at all times. The role requires a highly energetic, professional who is able to exercise initiative, and develop strong rapport with all stakeholders <p> In this position you will be performing various duties such as: <br>• Providing high level administrative services to the 3 Assistant Principals of the College <br>• Calendar Management including making appointments with parents and other stakeholders <br>• Coordination of Events for the Assistant Principals <br>• Preparing a range documentation including agendas, minutes, reports, letters, and more <br>• Preparation of outgoing correspondence and documentation <br>• Managing sensitive information in a confidential manner <br>• Completing research, data collation and creation of presentations <br>• Assisting as a team member in the smooth running of School Business Operations function <br>• Management of the office work-flow including setting priorities and reviewing work practices <br>• Improving processes and policies in support of the school’s vision to maximise the efficient delivery of that vision. <br>• Maintaining a high level of awareness of matters coming into and out of the Assistant Principals offices to effectively respond to enquiries and exercise sound judgement on the manner of response The Diocese of Maitland-Newcastle is committed to safeguarding children and vulnerable adults, preventing those in our care from suffering abuse or neglect. All employees are required to undergo a National Police Check, retain a valid NSW Working with Children Check and ensure compliance with our safeguarding policies, the Diocesan Safeguarding Commitment Statement and the Codes of Conduct. </p> <h3>Essential Criteria:</h3> <p> Essential: <br>• Ability to articulate a clear understanding of and a personal commitment to Catholic Education and to actively support the Catholic ethos and culture of the school <br>• Excellent interpersonal, written and verbal communication skills including ability to communicate with a diverse range of stakeholders and manage difficult conversations <br>• Extensive knowledge of office management systems, practices and procedures with a demonstrated record of enhancing processes <br>• High level proficiency using contemporary workplace technology, particularly across the Microsoft suite of programs <br>• High standard of professional competence, including accuracy of work, attention to detail, strong problem-solving skills and a well-ordered approach to work <br>• Highly adaptable, with excellent time management skills and the ability to effectively multi-task and prioritise work <br>• Ability to use discretion and judgement and the ability to maintain complete confidentiality <br>• Demonstrated capacity as a proactive operator who displays a high level of emotional intelligence <br>• Proven ability as a self-motivated professional with the ability to work in a fast moving and ever changing environment <br>• Demonstrated experience working on confidential and sensitive matters, with proven ability to apply knowledge and experience to resolve complex administrative matters, with discretion, tact and sound judgment <br>• Ability to construct a variety of reports for the Assistant Principals <br>• Ability to be flexible, adaptable and comfortable in a fast-paced environment. <br>• Demonstrated ability in accurately and proficiently perform a wide range of both simple sand complex administration tasks. <br>• Willingness to Comply or Compliance with the CSO Accreditation to Work, Teach and Lead Policy.
