We are seeking the services of a School Administration Officer and Bursar who will form part of the highly efficient and effective Office Team at St Peter’s Primary School, Epping The successful candidate will be someone who is organised, is able to multi-task, meet deadlines, is willing to learn, works well under pressure, is personable and is the welcoming face to our school.

<p><b><u>Role Description </u></b></p><p>The position of school officer and bursar at St Peter’s is set out in the following document but is not limited to this and may from time to time meet the changing needs of the school. At times you may be required to carry out other duties as required by the Principal.</p><p><b> A candidate who has been trained in the use of ICON (ESIS and/or EFIN) is highly desirable or the ability to learn this program quickly through training and support that will be provided. </b>As such an applicant who is highly computer literate is essential. Your ability to follow school and systemic directives and processes is also required.</p><p> </p><p>The position provides administrative support to both Principal and Deputy Principal, as well as being the link between what is happening in classrooms and families. </p><p> </p><p><u>The roles and responsibilities include: </u></p><p>Office Management </p><p>Complete payroll through shared services ICON platform. Recording all payroll changes for the period on the timesheet (ie additional hours, FTE changes, CRT’s etc) </p><p>Ensure all additional hours and/or overtime are valid and approved by the Principal </p><p>Calculate Pro-rata holiday pays when required </p><p>Answer queries from staff re: their pay and entitlements in accordance with the current VCEMEA -2018. </p><p>Process Parental Leave applications through MACS and Centrelink. </p><p>Perform Salary assessments for new staff </p><p>Process Long Service Leave reimbursements and applications for LSL loading. </p><p>Match OSR to payroll and contracts especially at mid-year and annual OSR confirmations, prepare, check and submit after sign off by Principal. </p><p>Assist Principal with online declaration after census through School Hub </p><p>Conduct all work within St Peter’s school values, policies and the Catholic ethos </p><p>Welcome all visitors &amp; follow procedures as outlined in the visitors’ policy </p><p>Answer phones, emails &amp; attend to reception </p><p>Post outgoing mail </p><p>Arrange /schedule appointments for Principal or leadership as &amp; when required </p><p>Place orders for general office supplies when required </p><p>Maintain photocopier services &amp; place orders for paper as needed </p><p>Provide secretarial support to Principal, Leadership &amp; staff as required </p><p>Process parent credit card transactions or cash when presented at the office </p><p>Exercise sound judgement &amp; compassion when dealing with confidential and sensitive information and matters/ relate to Principal </p><p>Be prepared to work as a member of a team showing support and sensitivity to other members within the administration team, staff, families, students &amp; the community. </p><p>Regularly attend network &amp; cluster meetings </p><p>Typing and computer work required to support the Principal and Deputy Principal e.g School Review </p><p>In conjunction with the Principal, handle end of year Back to School Stationery Orders </p><p>Be familiar with and comply with the school’s child safe policy, code of conduct and any other policies or procedures relating to child safety First Aid </p><p>Contact parents/ families for medical reasons where necessary </p><p>Daily medication for regular students is given &amp; maintained in a register then signed &amp; dated. </p><p>Students requiring medication ad hoc must have written permission prior. Follow this up when permission form has not been School Organisation </p><p>Handle &amp; complete online surveys via CEVN – Census &amp; Data Survey procedures </p><p>Communicate with parents as required- Emails, letters, phone calls, messages </p><p>Book &amp; organise annual school photos along with Year 6 Graduation Photos </p><p>Attend school community events &amp; activities as required (Twilight Sport / Year 6 Graduation) </p><p>Assist Parents Association as necessary (Fundraising, Mother’s/Father’s Day) </p><p>Liaise regularly with Principal regularly regarding end of year student numbers </p><p>Maintain &amp; prepare school documents for archiving in the school archive room </p><p>Communicate &amp; liaise with Parish as required </p><p>Ensure all extra hours are valid and approved by the Principal </p><p>Hours of Work 8.30am to 4.30pm – Three days per week.</p><p> </p><p>The successful candidate must be willing to undergo a full police record check, completed a COVID vaccine schedule and maintain a Working with Children Check. A current Level 2 First Aid certificate is advantageous as the School Administration Officer will assist with students in Sick Bay.
