Front Office Assistant

We are seeking an experienced full-time Front Office Assistant to work term-term plus 2 days. This Front Office Assistant is responsible for meeting and greeting all visitors to the school, making them feel welcome and valued in a calm and welcoming environment.

</p><p><b>ABOUT THE ROLE
</b></p><p>We are seeking an experienced full-time Front Office Assistant to work term-term plus 2 days. This Front Office Assistant is responsible for meeting and greeting all visitors to the school, making them feel welcome and valued in a calm and welcoming environment.
</p><p><b>KEY RESPONSIBILITIES
</b></p><ul><li>Answer the telephone and redirect calls, and welcome guests to the school.
</li><li>Management and distribution of visitor’s keys, and the sign-in/out register for staff and visitors.
</li><li>Collect and distribute mail daily, distribute deliveries, and assist with mailing/labelling as required.
</li><li>Forward reception and enquiries emails to relevant staff.
</li><li>Forward enrolment and transport issues to the Enrolments Office.
</li><li>Administer medications and attend to first aid as required as part of the Administration team.
</li><li>Receive student medication and ensure secure storage, ensure paperwork is received and forwarded to the First Aid and Medication Administrator.
</li><li>When required, provide personal hygiene assistance to students.
</li><li>Record daily student absences in TASS and check data inputted by teachers for accuracy.
</li><li>Follow up with parents regarding unexplained absences
</li><li>Check attendance data for inclusion in the bi-annual STATS attendance reports submitted to the Department of Education by the Business Office.
</li><li>Prepare daily departure lists to facilitate smooth transition of students at the end of each day and prepare afternoon run sheet information.
</li><li>Liaise with Catholic Care and direct parents to Catholic Care for after School Care queries.
</li><li>Check and reconcile monthly pay claims for ASTP drivers and ATSO’s.

</li><li>Proficient in Microsoft Office, Word, Excel and PowerPoint.
</li><li>Senior First Aide training.
</li><li>High level of integrity and trust, professional demeanor, understanding of the importance of confidential information.
</li><li>Great attention to detail.
</li><li>Demonstrated ability in setting priorities, planning and organising workload.
</li><li>Demonstrated ability and willingness to assist as needed outside designated role in a busy school environment.
